1. Scope
This policy explains how Vietfora Vietnam L.L.C. ("we") collects, uses, stores and protects your personal data when you use vietfora.com and related services.
2. Data we collect
Application data: name, sex, date of birth, nationality, passport number and expiry, passport data page image, portrait photo, intended entry date and purpose, contact email and phone.
Payment data: payments are processed by third-party providers such as Stripe. We do not store full card numbers.
Technical data: IP address, browser type, pages visited and timestamps, and support chat transcripts.
3. Purposes
Submitting your visa application to the official Vietnam e-visa system on your behalf and tracking its status.
Contacting you, providing support and sending status and issuance notifications.
Processing payments, issuing receipts and handling refunds and disputes.
Complying with legal obligations and preventing fraud and abuse.
4. Who we share data with
The official e-visa system of the Vietnam Immigration Department, as required to complete your application.
Payment providers such as Stripe, to process payments.
Support and messaging platforms (Chatwoot, LINE, email providers), to communicate with you.
Cloud hosting and storage providers, to store and process data.
We do not sell or rent your personal data beyond these purposes and legal requirements.
5. Retention
Passport images and portrait photos: deleted within 90 days after the e-visa is issued or the application is closed.
Order and payment records: kept for 7 years for tax and accounting purposes.
Support transcripts: kept for 2 years.
6. Security
All data is transmitted over TLS and stored in encrypted cloud environments. Access is limited to authorised staff on a need-to-know basis.
7. Your rights
You may request access to, correction or deletion of your personal data, or withdraw consent, at any time by emailing info@vietfora.com. We respond within 30 days. Data already submitted to the Government of Vietnam is retained and processed under Vietnamese law.
8. Cookies
We use only essential cookies to keep your language setting and support chat session. We do not use third-party advertising cookies.
